Administrative Associate/Receptionist

City and Country School seeks a full-time Administrative Associate/Receptionist.
This is a great opportunity for a friendly organized individual to work with a reputable not-for-profit organization. Primary responsibilities for the position include professionally greeting and assisting faculty, staff, students and visitors; answering questions for faculty, staff, parents, students and others.  Directing and announcing all visitors appropriately. Specific Administrative Associate/Receptionist duties include, but are not limited to, the following:
  • Direct visitors to the appropriate person or office
  • Maintain school security by following safety procedures and controlling access via reception desk (monitor logbook, issue visitor badges)
  • Operate the school’s multi-line phone system; directs calls to the appropriate party, takes messages and provides information and assistance to callers
  • Operates, and when necessary maintain, a variety of office business equipment associated with school activities including computer, postage machine, copiers and fax machine
  • Maintain accurate attendance records for students and staff; Assign & Distribute late passes for students
  • Organize Floater assignments as requested
  • Coordinate outside substitute teachers to ensure coverage for any teachers not in attendance
  • Sort and distribute incoming mail and deliveries; prepare outgoing mail.
  • Post signs for upcoming meetings and school closings
  • Organize sign-up sheets - Student/Faculty/Staff/Visitors/Student teachers
  • Assist with minor first aid needs; direct emergency 1st aid calls to the proper personnel
  • Assist with Emergency Drills
  • Update school calendars and weekly lunch menus
  • Coordinate school trips, including updating trips calendar, arranging transportation, vouchers, lunches, and floater coverage
  • Order food for in-school events
  • Ensure that the reception area and staff lounge are well supplied and presentable
  • Assists with document preparation, special projects and other office duties as directed
This position necessitates an individual who maintains a positive, pleasant demeanor to all constituencies. The individual should be friendly, outgoing and have the ability to multi-task. The ideal candidate should respect and appreciate children and enjoy working in a faced paced environment. He or she will be expected to contribute positively to faculty and staff morale. This position reports directly to the Director of Finance and Operations. The position requires:
  • Proven work experience as an Administrative Associate/Receptionist or a similar role
  • Excellent interpersonal and organizational skills with an attention to detail and deadlines
  • Proficiency in Microsoft Office Suite and Google docs, (Blackbaud a plus)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to work independently and to be resourceful and proactive when issues arise
  • Ability to communicate tactfully and effectively
  • Ability to work at a desk and computer screen for extended periods of time

Director of Facilities

City and Country School seeks a full-time Director of Facilities.
This is a great opportunity to support the mission of an established and reputable not for profit organization. The Director of Facilities will report to the Director of Finance and Operations.  The individual will direct, coordinate and supervise facilities and maintenance staff. S/he must exhibit understanding and support of the mission and goals of the School in personal conduct and management of others.
Primary responsibilities for the Director of Facilities position include—but are not limited to—the following:
  • Schedules and supervises all maintenance, cleaning and security staff at the school.
  • Meet with the Assistant to the Principal once a week to review calendar and provide coverage as needed.
  • Coordinates responses to all facility requests using established processes.This includes the set-up and break-down necessary to support daily events.
  • Schedules and performs regular preventive maintenance on all building(s) systems, including mechanical, electrical, and plumbing equipment, roofs, finishes, safety and monitoring systems, and other equipment.
  • Oversees the cleaning of the school.compliance (fire alarms, sprinklers, etc.) - Arrange for testing of systems as required.
  • Oversees and troubleshoots the security cameras/monitoring system and the phone system including the School’s Verizon landlines
  • Organizes schedules and supervises all repair and construction projects, with sensitivity to school seasonality and operational need.
  • Ensures compliance with all local, state, and federal regulatory requirements, including work safety regulations (e.g. fire drills). Oversees inspections of all building systems as needed for law/code.
  • Works with the Director of Finance and Operations to create an annual operating and capital budget and supervises facilities expenditures.
  • Collaborates with instructional and administrative staff including technology, security, athletics, after-school program, and food service to understand special needs and maintain quality support.
  • Liaison with any current and future landlords to ensure that any and all rented spaces are operating effectively and safely.
  • Participates constructively in the strategic development of the school including landmark and zoning compliance, utilities services and energy management.
  • Provides facilities support for campus events (e.g. the Harvest Festival, Spring Fair, auction, open houses, etc.)
  • Leads and collaborates the acquisition of capital budget items from purchase through installation and operation.
  • Maintain inventory of furniture, equipment, carpentry and cleaning supplies, and place order as needed. Seek out information about alternative vendors as appropriate for improvements in price or quality.
  • Review and renew all service contracts and assure that all school equipment is maintained and repaired as needed.  
The Director of Facilities must be a team player and leader with the ability to multitask while being attentive to detail. This is a “hands-on position” and a successful candidate must have a working knowledge of building management systems and construction project experience. Candidate should enjoy working with and being around children. In addition, the applicant should have:
  • College degree (or equivalent)  and a minimum of three years of related management experience.
  • All necessary certifications associated with the job description.
  • Excellent communication skills.
  • Comfort using technology including spreadsheet and word processing software.
  • The physical ability to lift heavy boxes and other materials and be able to climb multi- flights of stairs on a regular basis.
  • Excellent organizational skills and the ability to meet deadlines.
  • Exceptional problem solving skills.

Middle/Upper School Substitute Teachers

City and Country School seeks Middle/Upper School Substitute Teachers for the 2018-19 academic year.

Middle/Upper School Substitute Teachers work with grades 3-8.

Responsibilities may include:
  • Enacting lesson plans left by Group Teacher/Specials Teacher
    • Work may include Social Studies, Language Arts, Math, Spanish, Technology, Art, Shop, Science, Music and Physical Education
  • Supporting students in the work of the classroom
  • Managing classrooms of children
  • Providing feedback to Group Teacher/Specials teacher with regard to the lesson and the group
  • Accompanying and overseeing children during Lunch, in the Library and in the Yard
  • Joining groups on trips
  • Overseeing Morning Yard
  • Supervising Afterschool Homework/Library
