Advancement Associate

Position Overview:
City and Country School seeks a dynamic and detail-oriented Advancement Associate to support the full range of functions within the Advancement Team, including communications, development, and admissions. This full-time, entry-level position provides an excellent opportunity to learn and grow into a higher-level role while playing a vital part in strengthening the school’s outreach, engagement, and fundraising efforts. The Advancement Associate will
coordinate key projects, support event planning, and ensure smooth collaboration across teams.

Key Responsibilities:
Communications & Marketing

  • Organize and execute the school’s weekly newsletter. 
  • Contribute to the development of engaging content and tracking performance analytics for social media channels.
  • Monitor and respond to emails from the school’s general inbox.

Development

  • Support the Development Office by coordinating C&C Fund and Benefit activities, engaging volunteers, assisting with alumni/ae programming, and conducting donor and foundation research.
  • Handle donation and pledge entry, gift reconciliation with the Business Office, and acknowledgment letter generation.
  • Generate and manage database queries, exports, and reports in Raiser’s Edge, as well as update constituent data.

Admissions

  • Help prepare for and execute all admissions events, including school tours, open houses, and prospective family visits.
  • Monitor the admissions@cityandcountry.org email account and manage communications with prospective families, ensuring timely follow-ups and thoughtful touchpoints throughout the admissions process.
  • Manage the applicants' journey on Ravenna, ensuring their status is up to date and they are moved along efficiently in the application process.
  • Support the Admissions team with their database needs including creating spreadsheets, tracking data, and creating reports.

Qualifications

  • Bachelor’s degree required; 1–2 years of related experience (admissions, fundraising, communications, or similar)
  • Strong computer skills, including:
    • Google Suite and Microsoft Office
    • Solid Excel skills (pivot tables, VLOOKUP, data visualization)
    • Proficiency with databases such as Blackbaud/Raiser’s Edge and Ravenna, including generating queries and reports
    • Experience tracking, segmenting, and reconciling donor and applicant data across systems
    • Familiarity with website content management systems 
    • Experience with email marketing tools (e.g., Mailchimp, Constant Contact) and social media scheduling tools (e.g., Hootsuite, Buffer)
    • Exposure to event registration platforms (e.g., Eventbrite, SignUpGenius) and project management tools (e.g., Trello, shared calendars)
  • Excellent interpersonal, written, and verbal communication skills
  • Highly organized, detail-oriented, and able to meet deadlines
  • Proactive, collaborative, flexible, and able to work independently

  • Ability to work occasional nights and weekends

Salary
This position has a salary range of $65,000 - $75,000 per year, commensurate with experience and qualifications. This full-time bargaining unit position is in-person five days per week at the school’s campus in Manhattan’s West Village.
